ProMagic performs for royalty and trains thousands of magicians worldwide, but running the business side of magic was harder than the performances themselves. Booking requests buried in WhatsApp threads, untracked deposits, contracts scattered across inboxes, calendars that never synced. They'd already built a Bubble prototype that proved magicians would pay for a better way. But they couldn't sell a half-finished tool to performers who already trusted the ProMagic name. So they came to us to build it properly.

The goal wasn't another generic CRM. It was to build the system magicians actually want, one that understands performance dates, deposits, contracts, and the rhythm of a show-based business. Something that handles every enquiry from first contact to final payment without jumping between apps, looks polished enough for corporate clients, and stays simple enough to use backstage between gigs.
The strategy was deliberate: start with magicians, a global niche with a loyal following. From there, the architecture would allow expansion into other entertainment sectors. But there was a hard deadline. The world's largest magic convention was coming in February, and if they could launch there, they'd have a room full of magicians ready to buy.
Three months to ship something lean, compelling, and sellable.

The best thing was their clear communication and the service. We also experienced that they followed up well, and there are no issues fixing things that might crop up after final payment too.

The Process
We started with discovery.
No-code makes it easy to build fast, but also easy to build chaos. Before touching a single workflow, we locked down what version one needed to be, and just as importantly, what it didn't.
We mapped out user roles: entertainers and platform admins. We structured the database to handle bookings, contacts, contracts, and payments cleanly. We defined the core journeys: capturing an enquiry, converting it into a confirmed booking, issuing invoices, tracking payments, managing follow-ups. Only once the product logic was rock-solid did we move into design.
Competitors in this space felt dated and cluttered. The opportunity was clear: build something clean, modern, and intuitive, without overwhelming users with enterprise-level complexity they'd never touch.
Development moved fast with a tight feedback loop. Daily updates, full visibility, no surprises.
The MVP included:
Pipeline and booking management
Contact tracking
Invoice generation
Stripe integration for payments
SendGrid-powered email functionality
Google Calendar synchronization
PDF Generation
OpenAI Chatbot
Xero API
RechnungsAPI
We focused on the core mechanics that would allow magicians to run their business confidently from one system. Advanced automation and expansion features were deliberately staged for later, post launch.
Version one launched on time for the convention. Not bloated, not over-engineered. It was focused, stable, and ready to sell.
From there, the real product work kicked in. User feedback shaped refinements. Integrations were strengthened. New features were added thoughtfully. What started as an internal tool evolved into a scalable niche SaaS platform.
The Result
BookdCRM is now serving paying subscribers across the UK and Europe. More importantly, it's changed how its users actually work day-to-day.
Magicians who once relied on memory and spreadsheets now see their entire pipeline at a glance. Performers who sent ad-hoc invoices now issue professional contracts in seconds. Founders who worried about security and scalability now run on a structured, reliable foundation.
For ProMagic, this wasn't simply a development project. It was turning industry insight into a defensible product.
Niche SaaS is powerful when it's done right.
You don't need to build for “everyone”. You need to build deeply for someone. With the right discovery process, disciplined scope, and thoughtful design, it's possible to launch a focused product quickly and iterate intelligently from real usage.
This project is exactly that: an early-stage idea, refined through structure and strategy, launched in three months, and evolved into an ongoing product partnership.
If you've started building and reached the point where it needs to be done properly, that's where we step in.
