Here’s how we work together, what to expect, and how we keep momentum from start to finish.

Toolstack

These are the tools we use to stay aligned, organised, and moving forward:

  • ClickUp – Our single source of truth for tasks, timelines, and project status.

  • Userback – The only place for bug reports and design feedback. Keeps things organised and actionable.

  • Slack – For quick questions, daily updates, and async check-ins.

  • Loom – For walkthroughs, design feedback, and weekly video updates.

  • NFS – Our own tool for the project scope

Collaboration Rhythm

We follow a steady, clear rhythm so there are no surprises.

  • Kickoff Meeting – We align on goals, timelines, and tools.

  • Weekly Drops – Every week, we ship a focused build for you to test and review.

  • Weekly Updates – Sent every Friday via Slack or Loom. Includes what’s shipped, what’s next, and what’s blocked.

  • Check-in Meetings – Only when needed. We default to async to save time.

  • Bug Reviews – Managed through Userback. No bugs in Slack or email.

  • End-of-Project Handoff – Clean wrap-up with final deliverables and documentation.

Weekly Drops

Every week, you’ll receive a drop – a working version of what’s ready for review.

You’ll get:

  • What’s new

  • What to test

  • What kind of feedback is helpful

  • How to give feedback via Userback or Loom

Why drops matter: Testing early helps us catch issues sooner, improve faster, and keep the project moving in the right direction.

Communication

We keep comms clean and purposeful.

  • Slack is for quick updates, clarifications, and async questions.

  • Loom is for feedback or updates that are easier with visuals or voice.

  • Meetings are short, focused, and only when async isn’t enough.

  • Updates are clear, consistent, and rooted in real progress. You’ll always know what’s going on.

Roles & Responsibilities

We keep ownership aligned with the phase of the project. Whoever is leading that phase is your main point of contact.

  • Project Manager – Oversees delivery, scope, and alignment.

  • Designer – Leads UX/UI, polish, and works closely with devs.

  • Developer – Owns build quality, testing, and feature development.

  • Client (You) – Provides feedback, approves deliverables, and flags blockers.
