How to Migrate from Zapier or Make to n8n

Teams rarely leave Zapier or Make on a whim. They leave because the bill has crept past what the automation is worth, because they have hit a wall the tool will not let them past, or because someone finally asked where all that data is actually going. n8n answers all three, and moving to it is more approachable than most people expect.

The mistake is treating a migration as a big-bang rebuild where you switch everything off on Friday and hope it all works on Monday. Done that way it is stressful and risky. Done in waves, with an audit up front and parallel testing before each cutover, it is calm and controllable. You keep the old system running until the new one has earned your trust.

This guide is the practical playbook we use to move teams off Zapier and Make. It covers why teams move, how to audit what you have, how the concepts map to n8n, whether to rebuild or copy, how to move credentials safely, how to test in parallel, and how to cut over without drama.

Why teams move off Zapier and Make

The three reasons that come up again and again are cost, control, and data. Zapier and Make both price by usage, per task or per operation, so the more your automation succeeds and scales, the more it costs. Past a certain volume that model becomes genuinely expensive, and n8n's self-hosted option runs as many executions as your hardware allows for a flat infrastructure cost.

Control and data are the other pull. n8n lets you write custom code, install community nodes, branch and loop freely, and integrate with internal systems a hosted tool will never reach. And because you can self-host, your data stays on infrastructure you own rather than passing through a third party, which for regulated or privacy-conscious teams turns a nice-to-have into a requirement. Together, those three reasons are why the move is usually worth the effort.

Audit your current automations first

Do not migrate anything until you know what you have. Make a full inventory of every Zap and every Make scenario: what triggers it, what it does step by step, which apps and accounts it touches, and how often it runs. This inventory is the map for the whole project, and building it almost always surfaces surprises, such as automations nobody remembers creating.

Use the audit to prioritise ruthlessly. Some automations are business-critical and run constantly, some are minor conveniences, and some are quietly broken or no longer needed at all. Rank them by importance and by complexity, because that ordering tells you what to migrate first and what to simply retire. Migrating is the perfect moment to delete dead weight rather than faithfully recreating automations that stopped mattering months ago.

Map the core concepts to n8n

Migration gets much easier once you see how the concepts line up. A Zap or a Make scenario becomes an n8n workflow. The trigger, whether a schedule, a webhook, or an app event, maps directly to an n8n trigger node. Each action step becomes a node in the flow, and the data passing between steps works in n8n much as it does in the tools you know.

The differences are where n8n gets more powerful. Make's visual scenarios are closer to n8n's node canvas than Zapier's linear steps, so Make users often feel at home quickly. Branching, filtering, and looping that were awkward or limited elsewhere become first-class in n8n, and anywhere a built-in step falls short you can drop in a Code node or an HTTP Request node. Understanding this mapping turns migration from translation into an upgrade.

Rebuild rather than blindly copy

There is a temptation to recreate each automation node for node, exactly as it was. Resist it. Many Zaps and scenarios grew organically, with workarounds bolted on to get past a limitation that n8n simply does not have. Copying those workarounds faithfully means importing the cruft along with the function, and you miss the whole point of moving.

Instead, treat each migration as a chance to rebuild the automation properly. Ask what the workflow is actually meant to achieve, then build the cleanest n8n version of that. Often you can collapse three chained Zaps into one workflow, replace a multi-step workaround with a single branch, or handle in one Code node what previously took a paid premium step. Rebuilding costs a little more thought up front and pays it back every time the workflow runs afterwards.

Move credentials safely

Credentials are the part of a migration to slow down on. You will need to reconnect every app that your automations touch, which means creating fresh API keys or OAuth connections inside n8n rather than trying to lift secrets out of the old tool. This is also the right moment to apply least privilege, scoping each connection to only what the workflows genuinely need.

Handle the secrets with care. If you self-host, set a strong N8N_ENCRYPTION_KEY and keep it backed up separately, because it is what protects every stored credential. Never paste live keys into notes, chat, or anywhere they could leak, and revoke any old keys once the new workflows are confirmed working. Getting credentials right is not the exciting part of a migration, but it is the part where a careless step causes the most damage.

Test each workflow in isolation

Before a new workflow goes anywhere near production, prove it works on its own. n8n lets you run a workflow manually and inspect the data at every node, so you can feed in a real example and watch exactly what each step produces. This step-by-step visibility is one of n8n's genuine strengths, and it makes catching a mapping mistake quick and obvious.

Test the edges, not just the happy path. Try the empty result, the malformed record, the rate-limited API, and the case that used to break in the old tool. Confirm the new workflow handles them at least as well, and better where you can. Signing off each workflow in isolation before you connect it to live triggers means the only thing left to prove at cutover is that it behaves the same under real conditions, which is a much smaller leap.

Run old and new in parallel

The safest migrations never rely on a single moment of truth. For each automation, run the n8n version alongside the existing Zap or scenario for a period, both processing the same triggers, and compare the results. If both produce the same outcomes across a range of real cases, you have earned genuine confidence rather than hoping for the best.

Be thoughtful about side effects while running in parallel. You do not want both systems sending the same customer two emails or creating duplicate records, so either point the n8n version at a test destination or design the comparison so only one system takes the real action. The goal is to validate the new workflow against reality without doubling up on anything that matters. A short parallel run removes almost all the risk from the cutover that follows.

Cut over in waves, not all at once

Never flip everything at the same time. Migrate in waves, starting with the simplest, lowest-risk automations so your team builds confidence and irons out the process on things that cannot cause much harm. Each successful wave teaches you something that makes the next one smoother, and you keep the highest-stakes workflows until you have a proven routine.

For each wave, the pattern is the same: the n8n version has been tested in isolation and validated in parallel, so cutting over means switching the live trigger to n8n and turning the old one off. Keep the old automation paused rather than deleted for a little while, so you have an instant fallback if something unexpected appears. Waves turn a frightening all-or-nothing switch into a series of small, reversible steps.

Rebuild error handling deliberately

Whatever error handling your old automations had, n8n can do it better, so do not just replicate it. In Zapier and Make, handling failures often meant extra paid steps or awkward filters. n8n gives you dedicated error workflows, per-node retry settings, timeouts on external calls, and continue-on-fail behaviour, all built in, so you can design robust handling without inflating a bill.

Decide, for each workflow, what should happen when something goes wrong. Should a failed item be retried, skipped, logged, or should someone be alerted immediately? Set up an error workflow that notifies the right channel with enough detail to debug, and configure retries and timeouts so a slow or flaky API does not silently stall everything. Migrating is the ideal moment to give your automations the resilience the old tools made expensive or fiddly to add.

Document and train as you go

A migration is only finished when the team can actually run the new system. As you rebuild each workflow, document what it does, what it connects to, and any decisions that are not obvious from the canvas. This documentation is cheap to write while the detail is fresh and priceless six months later when someone needs to change the workflow and you are not in the room.

Bring the people who rely on these automations along too. Show them the n8n editor, how to read an execution, and how to tell whether a workflow ran cleanly. One of n8n's advantages is that its visual flows are genuinely readable, so a short walkthrough goes a long way. A team that understands the new setup will trust it, maintain it, and extend it, which is the difference between a migration that sticks and one that quietly rots.

Retire the old tool cleanly

Once every wave has cut over and run smoothly for a while, close out the old platform properly rather than leaving it half-alive. Confirm that no Zap or scenario is still doing real work, then disable them, and only after a safe interval cancel the subscription. Rushing to cancel the day you switch over removes your fallback before you have truly proven the new system.

Tidy up the loose ends too. Revoke the API keys and OAuth connections the old tool held, so no lingering access remains, and archive an export of the old automations for reference in case you ever need to check exactly what a legacy workflow did. A clean shutdown means the migration ends with a single, well-understood system rather than two overlapping ones and a stack of forgotten credentials.

Measure what you actually gained

Close the loop by proving the move was worth it. Compare the running cost before and after, and for most teams at any real volume the drop is the headline number that justified the whole project. Factor in the executions you now run without per-task charges, and the premium steps you no longer pay for because n8n handles them natively.

The gains go beyond cost, so measure those too. Note the automations you could finally build once branching, custom code, and self-hosting were on the table, and the reliability you gained from proper error handling and monitoring. Capturing these outcomes gives you a clear before-and-after, which both validates the effort and makes the case for the next set of automations you will build now that you are on a platform that does not hold you back.

Migrate once, and migrate cleanly

Migrating from Zapier or Make to n8n is not a leap of faith when you do it in order. Audit what you have, map the concepts, rebuild rather than copy, move credentials carefully, and test each workflow in isolation. Then run old and new in parallel, cut over in waves with the old system paused as a fallback, and retire the old tool cleanly once everything has proven itself.
